Fleet management software: income, costs and documents for every truck

All costs and documents for your tractors, trailers and trucks in one place. Thirsty trucks, expiring documents and upcoming maintenance come to you automatically.

  • Document expiry alerts
  • L/100 km fuel tracking
  • Maintenance and tyres
  • Driver settlement sheet

A record for every truck

The details and documents of each tractor, trailer and truck sit on one record. Expiry dates for inspection, insurance and other documents are kept. An expired document triggers a warning when the truck is assigned to a trip.

The record also shows the truck's profitability: what it earned and what it cost.

Fuel, maintenance and tyres

Fuel and toll import

Upload fuel and toll (HGS) statements from Excel; the rows match trips automatically.

L/100 km

Consumption is calculated with the full-tank method. Thirsty trucks are flagged in the report.

AdBlue tracking

AdBlue purchases are also kept per vehicle.

Maintenance

Maintenance records are kept, and upcoming maintenance is flagged in advance.

Tyre life

Tyre life is tracked; tyres can be moved between vehicles.

Fines, accidents and damage

Traffic fines

Fine records and early-payment deadline tracking.

Accidents and damage

Accident and damage records are kept with the vehicle.

Effect on cost

Insurance payouts and damage charged to the driver are deducted from the truck's cost.

Driver settlements

Driver allowances (also in foreign currency), bonuses and advances are kept with the trip. After the trip, the settlement sheet is ready as a PDF. TMSdeck warns you when documents such as the licence, SRC or psychotechnical certificate are about to expire.

Salary and deduction records are kept too. Payroll (SGK and tax) is not calculated; your accountant keeps doing that. There is no GPS location tracking either; you keep using your tracking system.

Fleet is one part of the TMSdeck transport management system. Trips are planned in road transport, and truck profit shows up in the reports.

Frequently asked questions

How is fuel consumption calculated?

With the full-tank method. The fuel bought between two full fills is divided by the kilometres in between and shown as L/100 km. Thirsty trucks are flagged in the report.

Is there GPS tracking?

No. TMSdeck is office software, with no GPS device, driver app or customer portal. You keep your existing tracking system. You can send customers a tracking link for their order.

Can I import my Excel data?

Yes. Accounts, opening balances, vehicles, staff, cheques, past trips, tariffs, toll and fuel statements load from Excel. Faulty rows are shown before saving.
